1. Booking and Payment

  1. Advance Booking: Clients are advised to book at least 90 days in advance. This ensures timely arrangement of permits, flights, accommodations, and other logistics.
  2. Deposit Requirement:
  3. 30% non-refundable deposit upon confirmation.
  4. 30% due one month before departure.
  5. Final 40% to be paid upon arrival in Nepal, prior to service initiation.
  6. Last-Minute Bookings: 100% payment is required for bookings made within 30 days of departure.

2. Cancellations and Refunds

  1. Client Cancellations (Must be made in writing):
  2. ≥45 Days before departure: 30% cancellation fee.
  3. 25–44 Days: 45–50% cancellation fee.
  4. 8–24 Days: 65–70% cancellation fee.
  5. <7 Days or No-show: No refund.
  6. Company Cancellations: In rare cases, clients will receive a full refund or alternate options.
  7. Refund Method: Processed after deducting Nepal Rastra Bank processing fees.
  8. Optional Credit: Refundable amounts can be retained as credit for future travel.

3. Documentation & Insurance

  1. Client Responsibility: Submission of passport copy, photos, and forms.
  2. Travel Insurance: Mandatory. Should include:
  3. Emergency medical coverage
  4. Helicopter evacuation
  5. Trip interruption/cancellation
  6. Company Not Liable: For denied services due to missing documents or uninsured events.

4. Trip Changes & Early Termination

  1. Modifications: Notify at least 2 weeks prior via email.
  2. Cost Implications: Any changes may result in cancellation fees or additional charges.
  3. Early Return: Additional logistics costs apply.

5. Flights, Meals, and Special Requests

  1. Flight Cancellations: No refund unless caused by Ouro. Assistance for accommodation provided (subject to charges).
  2. Meals: Tailored to location and availability. Taste variation expected.
  3. Extra Activities: Activities like paragliding, skiing, and drone usage must be pre-declared. Government permits required.

6. Group Bookings and Agent Bookings (B2B Specific)

  1. Group Discounts: Available for bookings of 5 or more travelers through a single agent.
  2. Agent Commission: Registered agents and B2B partners receive commission rates as per contract, payable upon successful trip completion.
  3. Flexible Payment for Agents: Repeat B2B partners may receive customized payment terms upon agreement.

7. Service-Specific Notes

  1. Air Ticket Bookings: Airline rules apply; any changes or cancellations are subject to airline penalties.
  2. Visa & Insurance: Ouro facilitates applications, but final issuance is subject to approval by respective authorities. Fees are non-refundable once applied.
  3. Vehicle Rental: Vehicles are provided with professional drivers. Self-drive options are not available. Fuel charges are included/excluded as per the package agreement.
  4. Outbound Packages: These are subject to foreign exchange regulations. Clients must ensure they have valid travel documents and sufficient forex clearance.

8. Exchange Rates and Currency

  1. Prices quoted in USD are subject to fluctuations based on prevailing exchange rates at the time of final payment.
  2. All transactions will reflect Nepal Rastra Bank rates for conversions, if applicable.
